Club secretary- should I accept?

Last night I received a phone call from the head coach at my GC’s ski club. She asked me if I would take over as secretary. I was surprised but not surprised! I had recently raised money for them and I think they liked the way I got things done.
I am not sure what to do. The events I organised took a considerable amount of time and caused a fair bit of stress. I know I put a lot into things and most of that stress comes from myself. Perhaps if I was doing it on a more regular basis it mightn’t be so bad.
I should add that the ski club is for children with additional needs, mostly autism (my GCs are high functioning autists).
I am also concerned about being on a committee as I think that might be stressful dealing with other personalities.
I am retired and look after my GCs on a daily basis. I do have lots of free time and I want to ‘give back’ to the club as it has done so much for my GCs.
The club is small but has been very successful, 4 Olympic medallists! I know the secretary’s post takes care of all paperwork, money, meetings etc.
I’m not sure. Can anyone advise me please.

You could agree on a temporary basis to "see how it fits in with the other responsibilities I have." That way you have a get-out clause.

Thank you Luckygirl. I was thinking along those lines myself.

Have a go. Not all committees are nightmares. I have belonged to several - and still do, where we all work really well together. You can always resign if you can't manage doing everything.

Thank you Monica. That’s reassuring.

If you want to do it set a few ground rules at the start so that everyone knows how much time you are able to commit to it. If it them becomes too much you will then have this agreement to fall back on - they can't argue then if it's too much for you. Enjoy it if you have a go.

I’ve been secretary of a number of voluntary organisations and I’d recommend giving it a try. One of the advantages af being secretary, rather than just a committee member is that you’re more in control and it sounds from your post that you’re someone who likes to get things done.

The only thing I’d say is that you need to get on well with chair of club, or whoever currently in charge- is it the head coach? A lot of work gets done by informal communication between you, without endless committee meetings.

Good luck, whatever you decide.

I would do it as well mande sounds like a good cause and you have a personal interest. The idea of a trial run is a good one and to say you can only commit to X amount of hours weekly. The only thing to be careful of in my experience is that if you are successful the work load will increase. Be careful not to take on extra work without getting help.
Good luck sounds like an interesting and worthwhile role.

Thank you all for your experience and advice. I think I will give it a go. ?

It's one thing helping out but another when you become involved. The ball is entirely in your court as to how you feel about it, but stick to your guns re. times should you take the offer.

Speaking from experience, it’s rewarding to do this but very very time consuming as well, and stressful at times.
Take it on for the year, and then review the situation.
Well done you for fundraising for such a worthwhile club.

If you feel you can do the job and want to do it, then why not?

I was Parish Clerk for many years and held down a full-time job. Thoroughly enjoyed the work..

I have been a charity secretary on and off almost all of my adult life. I'd say, as others have:
Do you get on with others on the committee? You don't have to be great friends, but you do have to work together
You say ' take care of money'. Why? There should be a treasurer, and if there isn't, then ask how the finances are done. You don't want to take on 2 jobs!
Ask about specific responsibilities. I imagine there is a fair bit of Health and Safety paperwork, and grant applications. Does a lot of this fall to the Secretary, or are there other committee members who take that on?
I agree with others who say that you should proceed carefully. Can you talk to the previous secretary?
Having said that, I am enormously grateful to the people, including my parents, who did these tasks for sports clubs, and enabled me, my children and grandchildren to benefit. I hope you do feel that you can.

At least they asked you! I missed the AGM of my art group and came home to find that I had been unanimously voted into the position of Chair!

mande Wed 06-Feb-19 20:57:28

Humbertbear that’s hilarious!
Nanarose that has definitely got me thinking. It’s a very small club and there wouldn’t be too much to do. The current secretary takes care of the money. Her daughter’s boyfriend is the treasurer but is off at University so I think she is looking out for him! I know there is going to be a complete shake up but I get on really well with the rest including the new chairman. I tnink I will definitely ask for clarification. And give it my best shot!

Have a go. If it worries you, give up.

Nannarose Wed 06-Feb-19 22:06:32

Good luck! And Humbertbear, you're obviously in the same sort of clubs as I am!

Always seems a great idea in the winter when little else is available outside for some. Just bear in mind the amount of time you will be spending doing this which will reduce the spontaneity of doing other things. Just a consideration.

Mande perhaps you might say that you will be prepared to be ACTING Secretary, for however long you want to say, and then you will know if you want to take it on in full capacity.

Mande . The current secretary takes care of the money. Her daughter’s boyfriend is the treasurer but is off at University so I think she is looking out for him!

I would agree to be secretary if you want to, but leave the Treasurer stuff with the current secretary. That sounds a complicated arrangement you do not want to get involved with!
