A month or so ago we were remembering the big all-day meetup we had in Edinburgh two years ago and there was enthusiasm for doing it again.

Ok - time to get down to some serious planning if it is all to be organised in time foir a Spring Spectacular in April. I shall try to pm everyone who was interested when it was first mentioned, but I hope that there will be others. Last time we had people from the other end of the country, and it was great to see everyone.

Dates first - can I ask you for an idea of when in April you can and particularly when you CANT make it so that I can see what date would suit most people. Is the weekend or a weekday better? Sunday travelling proved tricky last time, but weekdays are not convenient if you are working. There are plenty of places to stay here for anyone who wants to make a city break of it (other halves can join us for lunch if they like)

Venue probably the ROSL www.rosl-edinburgh.org/ subject to availability on our chosen date.

Next - what kind of programme would you like? Last time we had a really good talk about the beaver re-introduction trial (still no decision by Scottish executive on whether that re-introduction is to be made permanent!) and an exhilarating dicsussion on the Scottish Independence referendum, with some Scottish songs to finish. There were other things in reserve, but time ran out. There was coffee and biscuits, and a sit-down lunch.

Just found out that instead of "Two course sit-down lunch" we are booked for "Three course sit-down lunch" So the delegate rate was the best choice! (better choice?)

Just don't anyone go sampling two-for-one beefburgers just before we meet or you'll never cope with all the food.

They wanted a deposit last time, I am waiting to hear whether they do this time (they ought to trust us by now!) I shall pm everyone if they do, with my bank details for an online transfer, and my address for those who would rather send a cheque.

I don't think I need the balance immediately, there are no other expenses likely. Perhaps in March, so that I am ready to pay up. I'll keep you posted.

I've forgotten what we did about payments last time, elegran. Do you want it all up front, or a deposit, or what? And when?

Hi all,

After a series of emails to and from the ROSL I have clarified the price structure, and worked out that there is no difference between pricing the things we want and adding them together, and just accepting their "delegate rate" per person, so that is what we will do.

The bad news is that it has gone up since we last did this. It will be £30 per person. For that we do get a great deal (and at a very competitive price for an all-day event) We get:-

Coffee and cake in the morning
Two course sit-down lunch
Coffee and cake in the afternoon
Water and cordials on the tables
Use of a room to ourselves from 10am to 5pm
Hire of a projector and screen (I am now looking for a free speaker for a short talk on an interesting subject. Suggestions welcomed)

Wine at lunch will be up to individuals to order and pay for, and there is a bar just along the corridor, where anyone wanting something stronger than water or cordials throughout the day can buy drinks.

There will be choice of two options for each course at lunch, including a vegetarian or fish one. If you have any other dietary requirements, let me know.

For anyone who doesn't know the ROSL, here is a link to their website www.rosl-edinburgh.org/. They are at 100 Princes Street, between Boots and Frederick Street. We will be in the Robert Louis Stevenson Room. There is a lift, but there are a few steps down to it (it is quite an old building.) There are bedrooms, if anyone is looking for accommodation very much at hand.

The final numbers don't need to be in until nearer the time, so extra people can be added later, but it would be useful to have approximate minimum numbers as soon as everyone can confirm them.

I am looking forward to this - meeting old friends and making others.

Its all sounding exciting! There are bedrooms at ROSL but also several other hotels on Princes St from budget to 5*. Local restaurants too for those staying over. ROSL couldn't be better located. Its a real find!

I will be coming up from London on my own this time and would need to come by train the night before, Thursdsy.Tried the sleeper last time and didn't get a wink!
I would also stay the Friday night as late night trais home from London alone is not a good idea!
Staying together with meals etc would cost more than flights.
If there are others staying over who I could join for an evening meal I could be persuaded to stay.

Hadn't thought of staying over night but it might be a nice idea. It's not that far for me, but I'm always up for a weekend away!

The finish depends really on whether they have anyone else booked for the room later on that day. We did find last time that some people had to leave quite early in the afternoon to travel home - particularly as the weather was pretty awful - so it got quieter. In theory it finished at 4.30, but what happened was that it gradually wound down until the few left moved to the bar.

However, I don't think they would throw us out in any case. There is a bar where you can get tea and coffee and so on, and anyone at all can book dinner in the restaurant. They are in the business of serving us, after all, and a few more people don't make any difference. If I were you I would stay after coming all that way. They have rooms, but there are plenty of other places.
